A Credit Note is a document issued to the customer to record a refund or credit for goods/services that were returned, cancelled, or not delivered as agreed.
Note:
This feature is only supported for Equotix POS.
Accessing Credit Notes
- Open your Dashboard
- Navigate to Sales > Credit Notes
Add New Credit Notes
To add a new credit note, click on the '+' button
The following fields are required to create a credit note
General
| Field | Required | Usage |
| Related Order ID | Yes | The order ID of the order that you would like to create the credit note for. You can search for the order ID and it will populate the fields accordingly |
| Channel Order ID | Optional | The order ID based on the channel that this order belongs to |
| Channel | Yes | The sales channel to create the credit not for |
| Currency | Yes | The currency in which the credit note is created in |
| Currency Value | Yes | The currency value for the selected currency |
Customer
| Field | Required | Usage |
| Customer | Yes | Used to search for the customer details |
| First Name | Yes | The first name of the customer |
| Last Name | Yes | The last name of the customer |
| Company | Optional | The company name of the customer |
| Yes | The email address of the customer | |
| Telephone | Yes | The telephone number of the customer |
| Telephone 2 | Optional | The secondary telephone number of the customer (if applicable) |
Upon clicking 'Refund', you will have to select the refund payment method to complete the process.
Note:
Credit note uses the credit not statuses created under
Settings > Credit Note Statuses. You can configure the default credit note status for each of your payment methods underSettings > Payment Methods.
Update Credit Note Status
You can update the credit note's status by clicking on the view icon
You can then select the credit note status that you would like to update to as well as add any order comments necessary.
Delete Credit Notes
To remove a credit note:
- Select the credit note(s) to delete
- Click on More Actions
- Select Delete Selected
In the example above, the credit note #5 will be removed from the system.
Print Credit Notes Receipts
To print a credit note receipt:
- Select the credit note(s) to print
- Click on More Actions
- Select Print Receipts
Select the receipt template that you would like to print the receipt in.
Email Credit Notes Receipt
To email a credit not receipt:
- Select the credit note(s) to email
- Click on More Actions
- Select Email Receipts
You will have to choose the invoice template in which you would like to have the receipt emailed in.
Note:
You are required to have at least 1 invoice template to perform print or email. To create the invoice template, open
Integration > Extensions > Invoice Template > Add
